What does adding an amenity do?

Adding an amenity to an event links the event to a physical space in your building.

This keeps your event schedule and amenity booking calendar in sync, so you don’t have to manage both separately.


What happens when you add an amenity?

When an amenity is linked to an event:

1. The amenity is automatically reserved

  • The amenity is blocked for the duration of the event

  • Residents cannot book the space during that time

  • You do not need to manually block the space

In the amenity calendar, this will appear as:

  • Blocked for Event

2. Existing bookings may be affected

If there are already amenity bookings during the same time:

  • You will be warned before creating the event

  • You will see how many bookings are in conflict

  • You will be required to confirm cancellations

If you proceed:

  • Conflicting bookings will be cancelled

  • A message must be sent to affected residents

  • Refund logic (if applicable) will follow standard booking rules

3. Event settings are pre-filled

Some event settings will automatically use values from the amenity:

  • Capacity → defaults to the amenity capacity

  • Access (doors) → defaults to the amenity’s access settings

You can still change these settings for the event if needed.

4. Visibility across the platform

The connection between the event and amenity is visible in both places:

  • In the amenity calendar, the time will show as blocked for the event

  • Staff can open the booking panel and select View Event to jump directly to the event

Why use this feature?

Linking an amenity to an event helps you:

  • Avoid double-booking spaces

  • Save time by not manually blocking amenities

  • Keep schedules consistent across the platform

  • Ensure access settings are aligned with the event


When should you add an amenity?

Use this when:

  • Your event takes place in a bookable space (e.g. party room, gym, theatre)

  • You want to prevent other bookings during the event

  • You want access control tied to that space

Do not use this when:

  • The event does not require a specific physical space


Important notes

  • Only one amenity can be linked to an event

  • Changing the event schedule may impact amenity availability

  • Conflicts with existing bookings must be resolved before saving
