What are booking limitations?

Booking limitations allow you to control how residents book and attend a Community Event.

These settings help you:

  • Prevent overbooking

  • Control how and when residents can book

  • Manage guest counts and attendance


When are booking limitations available?

Booking limitations are only available when:

  • The event is a Community Event, and

  • “Require a booking to attend” is enabled

If booking is not required:

  • These settings will not be available

Where do I set booking limitations?

Booking limitations are configured in the Usage rules and conditions step when creating or editing an event.


Available booking limitations

1. Event capacity

You can set a maximum number of attendees for the event.

  • Once capacity is reached, the event becomes full

  • No additional bookings can be made

If an amenity is linked:

  • Capacity may be pre-filled based on the amenity

2. Limit number of people per booking

You can control how many people a resident can include in a single booking.

  • Set a minimum of 1 person

  • Maximum is based on the event capacity (if set)

Use this to:

  • Prevent one resident from reserving too many spots

3. Limit bookings in advance

You can control how far in advance residents can book the event.

  • Prevents early bookings too far ahead of time

  • Helps manage demand closer to the event date

4. Limit number of bookings per resident or suite (recurring events only)

For recurring events, you can limit how often a resident can book.

Options include:

  • Limit bookings per resident

  • Limit bookings per suite

Use this to:

  • Ensure fair access across multiple occurrences

5. Booking approval (optional)

You can require staff to approve bookings before they are confirmed.

  • Residents submit a request

  • Staff must approve it

You can require residents to provide details about their guests.

  • Applies when guests are included in bookings

You can enable notifications for staff when:

  • New bookings are made

  • Bookings are cancelled

What happens if you change booking limitations later?

If you update booking limitations after bookings exist:

  • Some changes may have no impact on existing bookings

  • Some may require you to review or cancel bookings

You may be prompted to:

  • Keep affected bookings

  • Cancel affected bookings

  • Notify residents if cancellations occur

Important notes

  • Booking limitations only apply to events with bookings

  • These settings are not available for Meetings or Notices

  • If booking is not required, none of these controls apply

  • Set a clear capacity for high-demand events

  • Limit guests per booking to ensure fairness

  • Use advance booking limits to control demand

  • Combine booking approval and guest information for more control
