What does booking approval do?

Booking approval allows staff to review and approve bookings before they are confirmed.

When enabled:

  • Residents can request a booking

  • Staff must approve the request before it is confirmed

This gives you more control over who can attend an event.


When should I use booking approval?

Use booking approval when:

  • You want to review who is attending

  • The event has limited or sensitive access

  • You need to control guest eligibility

  • You want to prevent misuse or overbooking

Examples:

  • Private events

  • Small group sessions

  • Events with strict capacity or eligibility rules


How to enable booking approval

Booking approval is available for Community Events when booking is required.

To enable it:

  1. Go to the Usage rules and conditions step

  2. Turn on Require a booking to attend

  3. Enable Require booking approval by staff


What residents experience

When booking approval is enabled:

  • Residents submit a booking request

  • Their booking is marked as pending

  • They will not have a confirmed spot until approved


What staff need to do

Staff must:

  • Review incoming booking requests

  • Approve or decline them

Until a booking is approved:

  • The resident is not fully confirmed for the event


Important notes

  • Booking approval only applies to events where booking is required

  • It is not available for Meetings or Notices

  • Capacity limits still apply


Best practices

  • Use booking approval for smaller or controlled events

  • Respond to requests promptly to avoid confusion

  • Combine with guest information requirements for better screening
